How the LLM assistant handles the complexity of WFM while mitigating business risks.
The enterprise software landscape is currently flooded with AI hype, but frontline managers don’t need buzzwords, they need operational leverage. Quinyx recognized this gap and set a bold vision for the future: a truly AI-powered Workforce Management (WFM) ecosystem that turns complex data into immediate action.
To make this vision tangible, we didn’t just want to talk about the future at our annual flagship conference, Quinyx Navigate. We wanted to show it. We set out to design a functional, high-fidelity experience to debut live on stage, proving the real-world potential of AI to an audience of over 500 business leaders, customers, and prospects.
What follows is the story of Ava, built to bridge the gap between AI hype and daily operational reality.
Quinyx’s CTO presenting the Ava strategy live at Navigate 2026.
Bridging the gap between high-level business constraints and daily friction of frontline managers.
Moving beyond a reactive search tool to a proactive “decision-support” engine.
Managers bear the legal and financial responsibility for schedule changes. They will not adopt an AI they do not understand or trust.
| Concept | Implementation | Strategic Purpose |
|---|---|---|
| Logic Tokens | Visual tags like [Budget Pass] or [Skill Verified]. | Instant confirmation that the AI considered the correct business variables. |
| The "Why" Layer | Citing specific labor laws or union rules in plain language. | Provides the "receipts" needed for audits or employee disputes. |
| Confidence Scoring | Real-time indicators of data freshness and accuracy. | Manages user expectations and signals when human intervention is required. |
Over-automation leads up to legal risks while we are aware that under automation easily fails to provide ROI.
Subtle UI highlights for optimization opportunities (e.g., suggesting a more cost-effective replacement for a future shift).
Contextual alerts for budget variances. Requires the manager to acknowledge the insight but does not stop the workflow.
Mandatory modal interruptions for legal violations (e.g., breaching the 11-hour rest rule). Requires a manual override and a reason code for the audit trail.
A high-speed entry point for global navigation and complex data queries (e.g., "Analyze last month's overtime by department").
AI-driven suggestions that appear directly within existing modules (e.g., inside the Schedule Grid). This places the help exactly where the work is happening.
A specialized view for complex "What-if" scenarios, allowing managers to review AI-generated schedule optimizations in a sandbox environment before committing them to the live system.
Marcus is a store manager. He runs a team of 34 people split across an early shift and a late shift, seven days a week. His days are full of decisions: who covers what, where the costs are running, what the weekend looks like against this week’s forecast.
He already has the data. Quinyx already gives him the forecast, the schedule, the labour cost view. What he hasn’t had is an agent that connects those signals in real time, one that surfaces needed decisions with enough context to act immediately.
Here’s what Marcus’s day looks like with Ava.
An employee’s shift swap request is waiting in Marcus’ queue, but it doesn’t need investigation. Ava, the AI-powered chatbot, has already chosen the right replacement with the right role and section experience, provided with a summary, details, validation status, and a button to approve.
Ava has flagged a coverage gap for Saturday, which is undercovered against the footfall forecast. But this isn’t just a warning, Ava has already drafted a solution, giving the manager two options for closing the gap, each provided with its labour cost implication. Marcus picks one, and what used to take half of his morning now only takes him a minute.
Ava shows Marcus a live view of the week’s labour cost against budget, pinpointing where the variance is building and which shifts have overtime. It surfaces one action: proactively offering open slots earlier in the week to reduce unplanned overtime. It also lets Marcus set an automatic alert going forward.
